The Following information is also available as a leaflet in rooms 3.05 and 3.11

Any web browser ( eg Internet Explorer, Firefox, Chrome, Safari etc ) can be used to access the web interface to FirstClass.

FirstClass via a Web Browser


Logging on to FirstClass
To use the FirstClass package at the BSO, via the BSO Intranet, you will need to be in possession of a username and password.

To start FirstClass

  • Click on the Start button, then Programs, Internet Explorer or double click on the Internet Explorer icon (as under document title)
  • Goto www.bso.ac.uk and click on Intranet and then Login or goto  http://intranet.bso.ac.uk and click on the Login link in the top Intranet ToolBar (from within the BSO or from anywhere else in the world)
  • Enter your username and password

To exit FirstClass
  • Click on the Logout link in the FirstClass ToolBar
  • Close Internet Explorer

To change Password
  • Click on the  Change Password icon in the FirstClass Desktop, Toolbar
  • Enter Old Password, New Password (at least six characters including at least one number) and confirm New Password
  • Click on Save
MailBox
Click on My MailBox to go to your Personal MailBox
Sending Mail
  • Select New Message from the Create: drop down box in the FirstClass Toolbar     
A window for your message will appear as shown below:

  • Click in the Subject: box and type in your subject
  • Click in the To: box type in the e-mail address(es) of person or people you wish to contact and click on the Add button
  • Click in the Cc: box to send copies, if desired, enter e-mail address(es) of person or people you wish to contact and click on the Add button
  • Click in the Bcc: box to send blind copies, if desired, type in the e-mail address(es) of person or people you wish to contact and click on the Add button
  • Click in the message text box and type in your message
  • To send your message, click on the Send icon or click on Save to save without sending it or Reset to abandon it
Note: Outgoing mail is placed in your MailBox. Unsent messages are marked with a White Flag - as long as you have clicked on Save before leaving the screen you were working on.  
Use the Directory
Open a New Message
Click in the To:, Cc:, or Bcc: section
Enter Surname, FirstName, Initials (separated by a space) or text to uniquely identify the addressee
Click on Add to view Directory
Tick the required Address(es) and click on Select to add them to the appropriate recipient section of the new message

Special Message Handling
Message Options
  • Open a new message
  • Click on Message Options and use the Priority, Sensitivity and Receipt options Message Options to mark it as required
  • Click on OK
Reading Mail
Note: Incoming mail arrives in your MailBox. Unread messages are
marked with a Red Flag.         
To open a message you wish to read
  • Open your MailBox
Messages will appear in a list
  • Click on a message to view it in a new window
To close the message you are reading
  • Click on the My MailBox link on Message ToolBar to return to MailBox
Note: Click on the Next Page icon to reach older messages.
Responding to Mail
Replying                       Original sender of Forwarded messageReplying to Mail
  • Open the message to which you wish to reply
  • Click on the appropriate Reply icon in the FirstClass Toolbar
  • The message appears in a Reply window
The original message is automatically included in the reply, delete this if appropriate
  • Change the Subject as desired
  • Check that the default To: address is correct
  • Add (or delete) any copy (Cc:) or blind copy (Bcc:) recipients
  • Type in your reply
  • When the message is ready, click on the Send icon
Note: when interleaving reply text between lines of original text, press the <Enter> key at the end of each section of your reply, to ensure that it is separated from the original text.
Replying to a Conference message
A reply to a message within a Conference will also allow you to select the appropriate reply.

Forwarding Mail
If you receive non-confidential mail which you think may be relevant to another e-mail user, you can forward it to that user.
  • Open the message, and check that you wish to forward it
  • Click on the Forward icon in the FirstClass Toolbar
  • The original message appears in a Forward message window
  • In the To:  box, enter the e-mail address of the person you are forwarding the message to and click on Add
  • Click on the Send button
To add some explanatory text:
Add the text, then click on the Send button
Sorting Mail
  • Click on a Column Title (e.g. Subject) in your MailBox to Sort messages in a different order
  • Click a second time to reverse the Sort order
Note: It is usual (and most useful) to keep messages sorted in order of most recent first.
Printing Mail
You probably won’t need to print your messages, but in case you do:
  • Open the message you wish to print, as if reading it    …OR…
  • Click on the Print icon in the FirstClass Toolbar
  • Select File, Print from the Internet Explorer screen
Choose Printer, Printing Preferences (e.g. Page Layout), Page Range and No of Copies and click on Print
Deleting Mail
Deleting messages
  • Open your MailBox and tick the message(s) to be deleted
  • Click on the Delete icon
  • The message(s) will be marked for deletion
Retrieving messages
  • Click on the Show Deleted icon in the FirstClass Toolbar to view deleted messages
  • Tick the required message(s) and click on the UnDelete icon to retrieve messages that have been accidentally deleted
  • Click on the Hide Deleted icon in the FirstClass Toolbar to hide deleted messages
Note: Deleted messages will be permanently deleted after 30 days.
Message History
  • View a message
  • Click on the History icon in the FirstClass Toolbar to  view the History of a message e.g. see if it’s been read
Mail Folders
Mail may be organised into Folders in FirstClass.
To create a new folder
  • Select New Folder from the Create: drop down box in the FirstClass Toolbar
  • Enter name of folder and click on OK
To rename a folder
  • Tick the folder and then click on the Rename icon and enter a name for the folder
To open a folder
  • Double click on a folder to open it
To close a folder or the folders window
  • Click on My MailBox on Folder toolbar to return to MailBox
Move or copy message(s) to another folder
  • Click on the message(s) you wish to move or copy.
  • Click on the Move/Copy/Link Selected Item(s) icon
  • Select the required Folder
  • Click on Move or Copy. The message(s) will be moved or copied
Attachments
Creating a message containing an attachment
  • Type in message
  • Click on Browse against Attachments and double click on the required file
  • Click on Attach
  • Complete the message and click on Send
Viewing file attachments
  • An incoming file attachment in FirstClass is indicated by a paper clip to the left of a mail message in your MailBox.
  • Open message containing attachment. The file's name will appear, above mail message, against Attachments
  • Right click on the Attachment File and then if you want to:
View the file: select Open in New Window, click on Open, view the contents and close the new window to return to FirstClass.
Save the file for future use: Select Save Target As…… and save the file using a name of your choice (this is where it becomes critical that both sender and recipient have the same, or compatible, programs). Use Save In in the Save As dialog box to find the location where you wish to keep the file and click on Save. Click on Close to return to FirstClass.

Note: Having once saved an attachment, it is possible to open it and look at it in the relevant software package, at your leisure.

Transferring Files to and from the BSO
FirstClass allows you to transfer your Microsoft Office files to and from the BSO by Uploading them to your Desktop.

Transfer your Microsoft Office file to FirstClass on the source computer:
  • Save the required file in Microsoft Office either on to your BSO server space ….or… onto your hard disc drive
  • Open FirstClass
  • Select Upload… from the Create: drop down box in the FirstClass Toolbar
  • Click on Browse… to locate the saved file
  • Click on Upload to upload the file to your FirstClass Desktop
  • Check that the file is visible on your FirstClass Desktop
Use FirstClass on the destination computer to access the file:
  • Open FirstClass
  • Right click on the Uploaded File and then if you want to:
View the file: select Open in New Window, click on Open, view the contents and close the new window to return to FirstClass
Save the file for future use: Select Save Target As…… and save the file using a name of your choice (this is where it becomes critical that both sender and recipient have the same, or compatible, programs). Use Save In in the Save As dialog box to find the location where you wish to keep the file and click on Save. Click on Close to return to FirstClass.
Finding text in messages
FirstClass can perform powerful searches to help you find items quickly.
  • Type required text in the empty Search box on the FirstClass Toolbar and click on Search to find relevant items
OR

  • Click on Advanced to specify Search options,  enter text to find and click on Search button
FirstClass Options
Select Preferences….. on the Desktop and Messaging to personalise your interface. Click on Save to save changes.  Be sure if changing any options here that you know what you are doing.
Signatures
Creating a signature
  • In the Initial Content area, create a Signature by entering text
Use an automatic signature
Tick the Automatically add signature to new messages box
Use a non automatic signature
  • Open a new message
  • Tick the Insert Signature box
